At dawn a technician carrying a test-kit case and a coiled hose walks from a plain white van at a corporate campus, a geometric fountain starting up in front of the glass buildings.

Service Calendar

Every fountain’s visits, booked once.

A plaza every Tuesday, a hotel twice a week, a campus on Wednesdays, and the autumn shutdown in between. Set each site’s day, time and rhythm once: Cascalto places every service visit on the Service Calendar, gives it to your technicians and sends your client an email.

A recurring series, start to finish

One series in. A year of visits out.

Central plaza’s weekly service is entered once. Each step below is one field of the new service visit; after that, the Service Calendar and your client’s inbox take care of themselves.

  1. Pick the first visitThe day it starts and the time your technician arrives, in quarter hours between 7 AM and 6 PM.
  2. Choose how oftenSeven rhythms, daily up to every six months. Stop the series after a chosen count of visits, or on a date that fits the contract.
  3. Assign the technicianOne technician, or more than one on the same visit.
  4. The year lands on the calendarEvery visit in the series is its own record from the start, with the series’ work and price: visit 1 of 52, visit 2 of 52, all the way through September.
  5. Your client is toldWith the client email switched on, the plaza’s facilities team gets the start date, the arrival time and how often you will be back.

When the weather moves a visit

A frost is coming. Winterize two days early.

A hard frost is forecast for Wednesday night, so the plaza fountain’s winterization moves from Thursday to Tuesday afternoon. Pick the visit up on the month and drop it on the new day; it is rescheduled.

  • Drag a one-off visit to move it; a recurring series holds its rhythm.
  • Cancel one visit, give the reason, and the client gets an email.
  • Visits already completed or invoiced stay where they are.

Recurring service visits

The contract’s rhythm, set once.

A maintenance contract decides how often each water feature is serviced. Below are the parts of a series you set a single time and then hand to the Service Calendar.

  • 01

Its own rhythm for every site

Weekly for a busy plaza, twice a week for a hotel lobby, every six months for a full equipment inspection. Two visits a week is two weekly series, one for each day.

  • 02

An end that matches the contract

Stop after a number of visits, from 1 to 365, or run the series to the date the contract ends.

  • 03

Each visit a record of its own

Every visit is created up front with the series’ work and price, so the whole term shows on the calendar and any one visit opens by itself.

    Visit 4 of 52Scheduled

  • 04

One Service Proposal for the series

Quote the series once. Your client approves the Service Proposal, and every visit in it is approved at the same time.

  • 05

Cancel one, or stop what’s left

Cancel one visit and record why, or end the series from a chosen date. Visits already completed, invoiced or paid stay unchanged.

The right technician on every visit

Assign one technician or a pair to a visit, and narrow the calendar down by technician, client, status or dates.

The two cutovers

Book the spring and the autumn before they arrive.

Commissioning and winterization are one-off visits on the same Service Calendar, assigned like any other — so the season’s long days are planned in spring and autumn, not discovered in them. The protocol each one runs is on the water feature’s record.

  1. Spring commissioningBook each feature’s start-up for the week its site reopens
  2. In seasonWeekly or twice-weekly service visits run through the season
  3. Autumn preparationBook the shutdowns and the end-of-season closes
  4. WinterizationMove a shutdown forward when a frost is forecast

Your client, kept informed

Every site knows when you will be there.

Turn on the client email and each site gets a message when a visit is booked, when your technician begins, when the work is finished and if a visit is canceled.

  1. BookedThe date, the time you arrive and how often the visits recur.
  2. StartedYour technician is on site and the visit has begun.
  3. CompletedThe work on the visit is done.
  4. CanceledWith the reason you give, so no one waits for a visit that won’t happen.

Questions

About the Service Calendar

Is the Service Calendar available today?

Cascalto launches soon. The Service Calendar, recurring service visits, technician assignment and client emails all arrive with it at launch; the scenes here are illustrations, and the client is invented.

Can a site be serviced twice a week?

Yes. Create a weekly series for each day — Monday and Thursday, for example. Each runs independently and can finish on a date of its own.

Can a series end when the contract does?

Yes. Finish it after a set number of visits, as many as 365, or on a chosen date. You can also end the remainder of a series later.

How do I plan commissioning and winterization?

Book them as one-off visits on the Service Calendar for each water feature, assigned like any other visit. If the weather moves one, drag it to the new day.

Is the client emailed about every visit?

With the email turned on, the client hears about each booking, start, completion and cancellation. You choose when it is on.
